Accounting Manager

  The Accountant is responsible for the financial planning, accounting, and reporting needs of two non-profit corporations: Indianapolis Downtown, Inc. and Indianapolis Downtown Marketing, Inc.

Indianapolis Downtown, Inc. (doing business as Downtown Indy, Inc.) exists to continually improve Downtown Indianapolis. Downtown Indy, Inc. is action-oriented and empowered to address critical issues that affect the growth, well-being and user-friendliness of Downtown. It's the only non-profit organization charged with developing, managing, activating and marketing Downtown to make Downtown a better place to work, live, learn and play.

General Description

The Accountant is responsible for the financial planning, accounting, and reporting needs of two non-profit corporations: Indianapolis Downtown, Inc. and Indianapolis Downtown Marketing, Inc.

Preferred Background, Experience and Skills

  • Bachelor degree in accounting 
  • Minimum of five to eight years experience in the accounting profession preferred
  • Knowledge of non-profit accounting and tax issues a plus
  • Proficiency in Excel, Word and Outlook software
  • Excellent written and verbal communication skills

Responsibilities

In addition to the following responsibilities, the Accountant is an integral part of the team seeking to establish and implement innovative, efficient and entrepreneurial programs to market, manage and develop Downtown Indianapolis.

Financial Duties

  • Process and analyze accounts payable and accounts receivable
  • Post monthly transactions to general ledger and make adjustments accordingly
  • Prepare financial reports for internal use, the Finance & Audit Committee and Board of Directors
  • Prepare and analyze monthly budget variances and cash flow
  • Assist with annual audit
  • Assist with the budget process
  • Attend quarterly Finance & Audit Committee meetings
  • Maintain fixed asset ledger
  • Process checks for payment
  • Maintain rolling 12 month cash flow
  • Maintain all equipment leases and maintenance agreements
  • Make bank deposits and reconcile accounts monthly
  • Maintain files and accounting for special projects and events, as necessary

Fundraising

  • Assist with soliciting funds for the annual operating campaign
  • Prepare grant requests for the annual operating campaign
  • Reconcile annual operating campaign reports to financial records monthly
  • Manage fundraising for special projects and events

Taxes

  • Review quarterly and annual payroll tax returns
  • Assist with preparing all tax returns/forms (990s, 1099s and property tax)
  • File annually with Secretary of State and State Board of Accounts
  • Assist with preparing and filing all non-profit forms

Contracts/Grants

  • Monitor and invoice all contracts, grants and sponsorships in accordance with individual agreements
  • File reports as necessary

Communications & Marketing Internship

  Applicants with majors in journalism, communications, public relations, advertising and tourism management are encouraged to apply. Candidates should have strong communication and organizational skills, be able to work with limited direction and on multiple projects, be creative and have strong oral and written skills.

Full Description

Downtown Indy, Inc. offers an internship in the marketing and communications department. The candidates should have strong communication and organizational skills, be able to work with limited direction and on multiple projects, be creative and have strong oral and written skills. Experience with design software (Photoshop, etc.), website content management and AP style guidelines are helpful. Applicants with majors in journalism, communications, public relations, advertising and tourism management are encouraged to apply. A final start date will be determined once a candidate has been selected.

Internship Description

Under the general supervision of the senior director of communications, the intern will:

  • Assist with the Monumental Weekend media relations campaign and news releases and pitch to the local print and broadcast media.
  • Help write and program the weekly e-news publication.
  • Help generate media coverage of Downtown Indianapolis and DII and its programs by developing story ideas, drafting news releases and media advisories and organizing news events and press conferences, as needed.
  • Maintain and update current media kit materials including fact sheets and backgrounders about Downtown history, attractions, events, and DII programs and initiatives.
  • Assist with compiling and distributing Downtown Pocket Map and other printed materials.
  • Assist with maintaining Downtown Indy, Inc.'s web page.
  • Assist with DII events.
  • Assist with design projects.
  • Assist with cross marketing opportunities.
  • Update media database & venue files.
  • Assist with research and tracking as needed.
  • Attend IDMI Board and other key DII partnership meetings.
Compensation
Interns will receive a monthly stipend along with a parking allowance.
