Events Coordinator

  The Events Coordinator, as an employee of Downtown Indy, Inc. manages and executes events on Georgia Street and The Canal Walk in coordination with the Events Director. This includes both Downtown Indy, Inc. hosted events as well as third party rentals that occur at either venue.

Downtown Indy, Inc. exists to improve Downtown Indianapolis.  It is the city’s official nonprofit organization empowered to address critical issues that affect growth well-being and user friendliness of Downtown Indianapolis.  It is charged with developing, managing activating and marketing Downtown to make it the best place to live, learn, work and play.

Downtown Indy, Inc. has been designated by the City of Indianapolis to oversee the management and activation of Georgia Street and The Canal Walk. In partnership with the City, DII will provide stewardship, expertise and day-to-day focus to build a compelling year round destination and pedestrian-friendly gathering place for residents and visitors.

DII also works with other event planners on third party rentals on both Georgia Street & The Canal Walk.

I.         General Description

The Events Coordinator, as an employee of Downtown Indy, Inc.  manages and executes events on Georgia Street and The Canal Walk in coordination with the Events Director. This includes both Downtown Indy, Inc. hosted events as well as third party rentals that occur at either venue. As Events Coordinator, the expectation is to initiate and maintain contact and relationships with outside clients, as well as City of Indianapolis personnel, including but not limited to Public Safety, Department of Public Works and Department of Metropolitan Development.

II.          Preferred Background, Experience and Skills

  1. Must have experience in related fields.  Working knowledge of event management/programming, public space management, public safety, operations, sponsorship, fundraising and financial management is desirable.  Knowledge of and positive relationships with City government and hospitality industry are a plus. 
  2. Proficient in Word, Outlook and Excel
  3. Bachelor Degree required 
  4. Good written, verbal and presentation communication skills required
  5. May be required to work evenings and week-ends depending on Downtown Event activities.

 III.        Responsibilities

  1. Day-to-day contact person with special event organizers for the use of Georgia Street.  Works closely with Events Director in planning, scheduling and executing events, along with on-site management/contractors/vendors/partners for Georgia Street.
  2. Secondary contact person with special event organizers for the use of The Canal Walk.
  3. Assist the Events Director and help to coordinate other recurring Downtown Indy, Inc.  events including but not limited to Blarney Bash, Workout Wednesdays, Happy Hours, Food Truck Fridays, Motorcycles on Meridian, Circle of Lights, City Sidewalks and New Year’s Eve.
  4. Responsible for invoicing clients and paying bills for Georgia Street in conjunction with event organizers and monthly Georgia Street utilities, repairs and maintenance.
  5. Provide direct line of communications with city and state agencies related to special events, including but not limited to the Indianapolis Departments of Code Enforcement, Marion County Health Department, Indianapolis Department of Public Works, Indiana State Excise Police, Indianapolis Metropolitan Police Department, etc.
  6. Maintain email communication with Georgia Street stakeholders as it relates to Georgia Street events, traffic notifications and other necessary updates.
  7. Assist Marketing Team with social media, website updates, etc. as it relates to Georgia Street.
  8. Maintain the events calendar on the Canal Walk website.

Communications & Marketing Internship

  Applicants with majors in journalism, communications, public relations, advertising and tourism management are encouraged to apply. Downtown Indy, Inc. offers an internship in the marketing and communications department. The candidates should have strong communication and organizational skills, be able to work with limited direction and on multiple projects, be creative and have strong oral and written skills. Experience with design software (Photoshop, etc.), website content management and AP style guidelines are helpful. Applicants with majors in journalism, communications, public relations, advertising and tourism management are encouraged to apply. A final start date will be determined once a candidate has been selected.

Internship Description

Under the general supervision of the senior director of communications, the intern will:

  • Assist with the Monumental Weekend media relations campaign and news releases and pitch to the local print and broadcast media.
  • Help write and program the weekly e-news publication.
  • Help generate media coverage of Downtown Indianapolis and DII and its programs by developing story ideas, drafting news releases and media advisories and organizing news events and press conferences, as needed.
  • Maintain and update current media kit materials including fact sheets and backgrounders about Downtown history, attractions, events, and DII programs and initiatives.
  • Assist with compiling and distributing Downtown Pocket Map and other printed materials.
  • Assist with maintaining Downtown Indy, Inc.'s web page.
  • Assist with DII events.
  • Assist with design projects.
  • Assist with cross marketing opportunities.
  • Update media database & venue files.
  • Assist with research and tracking as needed.
  • Attend IDMI Board and other key DII partnership meetings.
Compensation
Interns will receive a monthly stipend along with a parking allowance.

Real Estate Internship

  Downtown Indy offers an internship in the Real Estate Development department.

Job Requirements

Downtown Indy, Inc. (DII) is action-oriented and addresses critical issues that affect Downtown’s growth and wellbeing. DII focuses on four areas: planning & development, management & safety, activation (events) and marketing. DII has a strong team environment where success depends upon collaboration and coordination within the organization and with other agencies, businesses and government entities.

DII offers a summer internship in the real estate planning and development department. The candidate should have an interest in real estate and urban planning, strong organizational skills and be self-motivated. Experience with web-based data collections tools such as American Factfinder, STATS Indiana, ESRI Community or Business Analyst, etc. is helpful. The internship runs May through August and is a minimum of 32 hours per week. A specific schedule will be arranged. A stipend and parking allowance is included.

Job Description

Under the general supervision of the planning and data manager, the intern will:

  • Compile and analyze Downtown restaurant and retail sales tax data.
  • Update and distribute recruitment tools including Downtown projects list.
  • Assist with planning and execution of the Downtown Living Tour.
  • Attend key DII partnership meetings and DII staff and planning meetings.
  • Take photographs of Downtown projects.
  • Other duties as assigned.
